Contract Administrator – Fargo, ND

The Contract Administrator is a key member of the sales team, responsible for all administrative support functions, including creation and drafting of proposals and reviewing contracts for accuracy.

Summary:

The Contract Administrator is a key member of the sales team, responsible for all administrative support functions, including creation and drafting of proposals and reviewing contracts for accuracy. The Contract Administrator works closely Fence Sales staff, headquarters administrative staff, other office location managers, project estimators and coordinators to assure that jobs are created, billed, and executed consistent with best practices, and gathers all necessary documents to support and accompany proposals and contracts.

Essential Functions:

  • Prepare and review contract proposals and bid submissions for fence sales staff
  • Gather documents necessary to prepare and accompany proposals (i.e. plans, insurance certificates, bid bonds, bid forms, etc.)
  • Prepare shop drawings and submittals for approval
  • Job lot ordering and monitor delivery
  • Analyze potential risks involved with specific contract terms
  • Ensure all records and documents are accurate and up to date
  • Ensure all deadlines and conditions described in contracts are met (e.g. payments and shipping) and manage digital storage of contracts
  • Create language standards for existing and new contracts
  • Complete job set-up and assist in progress billings and collection of accounts receivable   
  • Provide support for fence sales staff (project entry in ERP and pre-job coordination)
  • Physical document management, including material certifications
  • Support DFC Company administrative process as necessary
  • Special projects as needed 
  • Other tasks as defined by the fence sales staff

Qualifications, Knowledge, Skills and Abilities:

BS or AS degree in Business Administration, Accounting, Finance, or related field from an accredited college is desired, but years of pertinent experience will also be considered. Ideal candidate will have proven work experience as a Contract Administrator and knowledge of legal requirements involved with contracts.  Experience with construction ERP systems, including Vista, is a plus.

  1. Working knowledge of construction processes
  2. Strong technology and computer skills
  3. Superior attention to detail to spot inconsistencies in contracts
  4. Working knowledge of ERP systems and computer networks
  5. Organizational abilities to track multiple deadlines and reporting requirements
  6. Self-motivation and desire to continually improve 
  7. Ability to communicate effectively, orally and in writing, and have good public relations and customer service skills
  8. Ability to establish and maintain effective working relationships with others
